CCR is committed to the proper and lawful treatment of all personal data. All personal data-which may be held by CCR on paper, on computer or in other media- will adhere to the appropriate legal safeguards as laid down in the General Data Protection Regulation 2018. SCOPE This policy applies to all trustees, staff employed by CCR, those contracted and subcontracted by CCR and to all volunteers and group leaders – and must be adhered to by them, together with any detailed guidelines published separately for this purpose. We will do our utmost to ensure that all its staff, volunteers and trustees are conversant with data protection legislation and practice. The scope of the policy does not seek to govern the sharing of contact details and personal data between groups of friends who are connected through Christ Church. CATEGORIES OF DATA Data is information which is recorded with the intention that it should be processed on a computer or is recorded as part of a relevant filing system (i.e. manual system). 1. PERSONAL DATA isi nformation relating to an individual who can be identified: from the data from the data whichi ncludes an expression of opinion about the individual For Example: electoral roll name and address details 2. SENSITIVE PERSONAL DATA is defined in law as information relating to: racial or ethnic origins of the person political opinions religious beliefs or other beliefs of a similar nature trade union involvement physical or mental health sexual life the commission or alleged commission of any offence any proceedings for any offence committed or alleged to have been committed For Example: information held for the purpose of pastoral care In order to process these two types of data, consent from the individual must be obtained by the organisation handling the data. Explicit consent must be given when it is sensitive personal data. Additional safeguards are therefore in place where sensitive personal data is concerned. PROCESSING OF DATA CCR will only process data if at least one of the following conditions is satisfied: 1.The processing is necessary to further the “legitimate interests” of Christ Church Roxeth (CCR), provided that such processing does not prejudice the “right and freedoms or legitimate interests” of the person concerned. If CCR processes data under this condition, there is no requirement to obtain consent from the person concerned, but we will always ensure that CCR respects that person’s rights. This includes the rights of those who provide services to CCR (e.g. tradespeople). 2.The person concerned has given consent. The consent may be explicit or implicit. By way of an example, a person who emails the church is deemed to give implicit consent for his or her contact details to be stored in such a way that enables the church to respond to the email. 3.In compliancewithalegalobligation–forexampleacourtorderrequiringdisclosureofinformation. services to CCR (e.g. tradespeople). 2.The person concerned has given consent. THE EIGHT PRINCIPLES OF DATA HANDLING CCR upholds theeightprinciplesofdatahandlingrequiredbytheDataProtection Act.Thepurpose of these principles is to specify the mandatory conditions that must be satisfied in relation to obtaining, handling, processing, transportation and storage of personal data. Trustees, employees and any others who obtain, handle, process, transport and store personal data for or on behalf of CCR must always adhere to these principles. In summary,theseprinciples requirethatpersonaldata: 1.Shallalwaysbeprocessedfairlyandlawfullyandshallnotbeprocessedatallunless certain conditions are met. 2.Mayonlybegathered foraspecifiedandlawfulpurposeandshallnotbeprocessed in any manner incompatible with that purpose. 3.Shallbe adequate,relevantand not excessive forthosepurposes. 4.Be accurateandwherenecessary,keptuptodate. 5.Shallnotbe kept forlongerthanisnecessaryforthatpurpose. 6.Shallbeprocessedinaccordancewiththedatasubject’srights. 7.Mustbe keptsecure fromunauthorisedor unlawfulprocessingandprotectedagainst accidental loss, destruction or damage by using the appropriate technical and organisational measures. 8.Must not be transferred to a country or territory outside the European Economic Area, unlessthatcountryorterritoryensuresan adequatelevelofprotection fortherightsand freedoms of data subjects in relation to the processing of personal data. CCR does not envisage any circumstances in which a transfer of data outside the UK would occur. CCRwilltreatallthepersonalinformationasprivateandconfidentialandnotdiscloseanydata to anyone other than the relevant staff and authorised leaders, solely in order to facilitate the administration and ministry of the church. Theywillbe supported in managing the practical implementation of this Policy by the OperationsCoordinator. 3.Whenpersonalinformationiscollected forusebyChristChurchRoxethwewillensurethat a.Thisinformationisnecessaryforchurchpurposes By signing the Consent Form and the Media Release form, you are consenting to us using your data for the purposes set out above. You may withhold your consent by sitting in a “film free area” of the church before filming or photography starts. These areas are identified by notices in the church and our stewarding team will be available to assist if you have any questions. In the filming areas, once live-streaming or filming has started, or group photographs have been taken consent cannot be withdrawn because your data can’t be permanently removed from the internet, nor can a group video or photograph be edited to remove your image. If you are a regular attendee, your consent will be renewed every 3 years, but you can withdraw your consent at any time to being filmed in future services by contacting [x] as set out in section 9 below and sitting in the “film-free” area when attending church services if you do not want to be filmed. You may be asked to consent on behalf of children aged 16 years or under attending with you. Please consider whether they would want their images to be uploaded to the internet. 5. We will be sharing photographs and recorded or live-streamed services with the public, by uploading it to social media and other internet sites, such as Zoom, Facebook, Youtube,etc. 6. This means your data may be stored outside the UK. Each platform has its own privacy policy which describes how your data is used and protected. 7. We will keep your data for up to 3 years, except for certain special services, which may be retained permanently for archival purposes. 8. You have the following rights regarding your personal data: Your right of access- You have the right to ask us for copies of your personal information. Your right to withdraw consent– You have the right to withdraw your consent as described in section 4 above*. Your right to rectification- You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete*. Your right to request erasure- You have the right to ask us to erase your personal information in certain circumstances*. Your right to restriction of processing- You have the right to ask us to restrict the processing of your personal information in certain circumstances*. *The rights to withdraw consent, or request erasure or restrict processing are limited, i.e. once the data is uploaded online, we are no longer able to erase or restrict the processing of individual images.In addition, the right to rectification only applies to the processing of your name and contact details, it cannot apply to your image captured on film. You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. INTRODUCTION This guide is intended to provide you with a brief overview of the Christ Church Roxeth (CCR) premises, including access, furniture etc, to help you to find your way around and to try to answer any questions you might have. You have been given a copy of this guide because you want to use the premises for an event. Because CCR does not employ a caretaker, you take responsibility for clearing up after your event and to ensure that the premises are in a clean, satisfactory condition for the next user. You must leave the property secure so you may need lock up as well. In addition you take responsibility for the health and safety of your guests or attendees. In preparation for your event, please spend a few minutes walking round the premises, referring to the guide as you go. Please speak to staff or one of the wardens if you need further help. SECURITY Please note the following: Only unlock those parts of the premises which you are using. Check that there is noone on the premises when you lock up. Cooperate with any other users who are in a different area, to make sure that there is no confusion regarding locking up, etc. Please do not leave any of your belongings unattended. HEALTH AND SAFETY As the organiser of an event on CCR premises, you are responsible for the health and safety of your guests or attendees. Please ensure that a risk assessment has been done for your event and that CCR is informed of any potential risks to people or property. It is also a requirement that you are familiar with the following: Emergency exits Locations of fire extinguishers Emergency lighting First Aid equipment Telephones Emergency telephone numbers First Aid equipment is located in the upstairs and downstairs kitchens. In the event of an EMERGENCY requireing evacuation of the building: Break the glass strip on a fire alarm to activate it Make sure everyone has left the building (check toilets, etc.) Follow the instructions posted by the exit doors For the fire brigade or ambulance, ring 999 For an electricity failure or emergency, ring 0800 783 8838 For a gas failure or emergency, ring 0800 111 999 Try and get in touch with one of the following people: Churchwarden: Sue Arnold: (m) 07788 196 347 or (h) 020 8427 2015 Church Administrator: Barbara Kuekes-Patel - 07931 326 596 Please Note: The emergency lighting will automatically come on if the electricity fails. The Building and Layout Please familiarise yourself and others with the layout schematic shown below. The assembly point is YMCA Car Park. Emergency alternative exits: At the far end of the Lounge with a walkway to the garden area At the far end of the Hall leading to the garden area In the North Transept of the church leading to the car park The fire regulations state that two exits should be available if more than 60 people are present, and that all doors should open outwards. Please note that some of our doors actually open inwards (including the doors into the Lounge from the Foyer, and the door in the North Transept of the church). You must overcome these deficiencies by appointing someone in charge of opening these doors in the event of an emergency. For the Lounge: Make sure that the fire exits are clear of furniture. If you expect to have more than 60 people in the Lounge keep all the Lounge doors unlocked. For the Church: Unlock and unbolt the North Transept door (the key is on a ledge in the door). For the Downstairs Hall: Ensure that the doors to the patio are clear and unlocked Please check the locations of the fire extinguishers to ensure that they are not hidden by furniture, etc. (some are fixed in position but others are not). CLEANING EQUIPMENT Please clean up after your event, and leave the facility as you would like to find it. There is an electric vacuum cleaner in the lounge; other equipment (brooms, dust pan and brush, etc) are in the downstairs corridor by the cleaner's closet. CAR PARKING Please note: - Parking is limited to a maximum of 6 cars for your event. - Please encourage the use of alternative transport and off grounds parking. - - Be aware that yours may not be the only event happening at the Church and therefore others will be expecting space that there will be to park. - - - - Please park considerately in marked spaces only. - - Do NOT obstruct: The vicarage drive The access road-it must be clear for emergency vehicles. Fire Exits -Front doors and the North Transept door next tothe handicapped spaces. Parking is permitted to the maximum of 6 cars for your event in the following areas: - On the church drive - Additional spaces behind the vicarage, shared with the YMCA. - Parking is permitted on Roxeth Hill (we suggest you park on the uphill side of the road, opposite the church entrance). The next best place is Ashbourne Avenue; the first road on the left, down the hill from the church entrance. ENTERING THE PREMISES If you have been provided with a key, it will fit the right hand door closest to the mailbox. After unlocking that door, it is possible to unlock the left hand doors from the inside. If you are entering in the dark, the light switches are on the right, by the door. These cover the stairs, the foyer, and two outside lights. Please only use the lights you need. If you require wheelchair access, you will need to open up a different entrance (see "Access Facilities"). A number of the doors within the premises have been equipped with digital locks. There are two types - which operate differently. - Type 1- At the bottom of the stairs -the door must remain open to avoid relocking. - Type 2- From the top of the stairs into the foyer, from the foyer into the church and into the lounge-there is a catch which enables the door to be closed without being locked. If you are expecting a large number of people, please unlock all the doors available-e.g. at the main entrance, at the top of the stairs and the Church and Lounge entrances. In addition, the Church and Lounge doors can be hooked back to keep them open, when people are moving in, out or between the various areas. The Lounge The Lounge is equipped with a variety of furniture: sofas, chairs, rectangular and square tables and a number of small, low coffee tables. The rectangular tables are likely to be stacked in the back section of the lounge known as The Lab. Please return the set up to the way it was when you arrived for your event. Before and during your event: - Please do not attempt to use any dividers unless you have been shown how to move and lock them into place - There is a fire exit at the far end of the lounge, which leads down to the garden. Ensure that this exit is not blocked. - Do not allow children to lean out of the windows or climb on any of the tables. At the end of your event: -Make sure the kitchen is safe (taps off, kettle, coffee makers and urn off)-but leave the fridge on! -Turn the lights off in the kitchen and lounge ( don't forget the one in 'The Lab'. -Turn the lights off in the toilets and make sure the toilet windows are closed. To lock the lounge: - Start with the the pair of doors which DON'T have the digital lock: - Close the first door and lock both upper and lower shoot-bolts - Then close and lock the second door using the rotary handle. - Finish with the doors which do have the digital lock: - Close the first door and lock both the upper and lower shoot-bolts. - Reset the door catch so that it will lock when closed - Make sure you have moved all your belongings into the foyer. - Close and lock the door. The Main Church Events occasionally take place in the main church. Please discuss your requirements in detail with the Church Administrator when planning your event. If you're entering the church at night, there is a light switch in the foyer to the right of the door leading into the church. This turns on a light in the church near the sound/vision desk, just above the main bank of light switches. A few basic comments are included here: - Please do not remove any furniture from the church or bring any new furniture into the church without agreement ahead of time from the Church Administrator - The door in the North Transept to the left of the chancel leads into the car park. This can be used as an escape route in the case of an emergency, please remember to unlock it if more than 60 people are present. This door is also used for step-free access into the upper floor of the building. - The door in the South Transept leads to the prayer room and vestry. You are welcome to use the prayer room (once refurbished), but the vestry (upstairs) is not available for use. - Please do not adjust the heating or use the sound/vision system without prior agreement. - All the lights are turned off at the bank of switches above the sound/vision desk. - The only exception is the light just above the desk; its switch is in the foyer, immediately adjacent to the door into the church. There are also 2 spots operated by inline switches in the chancel area. To lock the church: - Check that the door from the North Transept into the carpark is locked. - Check that the door from the prayer room to the churchyard is locked (only if it was opened). - Then return to the doors which lead to the foyer. - Start with the the pair of doors which DON'T have the digital lock: - Close the first door and lock both upper and lower shoot-bolts . -Then close and lock the second door using the rotary handle. - Finish with the doors which do have the digital lock: - Close the first door and lock both the upper and lower shoot-bolts. - Reset the door catch so that it will lock when closed. - Make sure you have moved all your belongings into the foyer. - Close and lock the door. - Don't forget to turn off the light above the sound/vision desk, from the switch in the foyer by the church door. - Turn the lights off in the toilets, and make sure the toilet windows are closed - If you do move the furniture around in the church (with prior permission)- please make sure it's returned to it's original set-up before you leave. The Hall The Hall is equipped with plastic chairs, and various tables.If you need other tables then you might need to borrow some from the lounge or use the trestle tables in the store room near the kitchen-the door is on the right at the end of the passage which leads to the kitchen. Most of the chairs are likely to be stacked in the alcove. There are two different types of plastic chair (the holes in the back of the chairs are different shapes) and they should be stacked separately. Before and during your event: - Please do not attempt to use the divider yourself. If you need to divide the room into two parts, please let the administrator know ahead of time, and we will arrange for the hall to be divided for you. - There is a door at the far end of the hall, into the garden. Ensure that this exit is not blocked, eg by tables or chairs, in case of emergency. (You don't need a key to unlock the door). - Do not allow children to climb on stacks of chairs. - Please do not allow children to play in the garden without adequate supervision. At the end of your event: - Please ensure that the windows are closed and the door to the garden is locked. - Please stack the plastic chairs in the alcove- not more than eight high. - Wash up any crockery/cutlery, and return to its usual home. - Please tidy up and clear up any spillages, etc. - Make sure the kitchen is safe (taps off, gas off, oven off, hot water heater off,etc). - If you have used any mains electricity, please replace any child-proof covers on the sockets. - Make sure that the door to the outside store cupboard (beyond the kitchen door) is locked. - Turn the lights off in the downstairs kitchen and hall. - Turn the lights off in the toilets, and make sure the toilet windows are closed. To lock the hall (ie the doors at the bottom of the stairs): - Close the first door, and lock both up and down shootbolts. - Make sure you have moved all your belongings to the bottom of the stairs. - Then close the second door, which should lock itself. Garden The garden can be accessed via the path to the right of the front entrance or via the hall. (The fire escape from the lounge also provides access to the garden, but should only be used in an emergency) The garden is surrounded by a fence and contains a number of gates. All these gates should be closed, except the gate which gives access from the front of the church along the sloping path. Whilst we have attempted to make the garden as safe as we can for children, it contains tree trunks, brambles and the like, and as such may pose a risk. In particular, please do not allow children to play on or near the bridge which forms the fire escape from the lounge. If it has been raining, the paths may be slippery, especially those which are on a slope. Please let us know if you wish to hold a barbecue. If we agree to this, then you must make sure that the fire is extinguished before you leave the premises. There can be no fires other than in BBQ grills. Graveyard Please do not allow children to roam around in the graveyard-it isn't safe. GENERAL RULES OF USE You are welcome to bring electrical equipment with you (such as projectors, video cameras, etc) but please do not bring any heating equipment. If using electrical equipment in the hall, please replace the plastic safely covers after use. Please Note: that when an event involves a Third Party bringing electrical equipment onto the premises (such as a disco, music band, caterer, etc) they MUST have a PAT test certificate for their electrical equipment, and liability insurance. It is the responsibility of the hirer to ensure that this condition is complied with. It is the responsibility of the hirer to confirm that these conditions are fulfilled and the hirer will be held fully responsible for any loss or damage should these conditions not be fulfilled. If you think that the central heating might need adjusting, please do not attempt to do it yourself; rather, discuss your requirements with the administrator. Please note that confetti (or any other 'thrown' item) is not allowed inside the premises. However bio-degradeable confetti is allowed in the church car park. We prefer you do not throw rice as it can be slippery underfoot when wet. EXITING THE PREMISES To exit the foyer: - Note that the small lights in the foyer ceiling are activated by movement -they will go off automatically a few minutes after you have left To lock the foyer: - Close the first door and lock both up and down shootbolts. - Make sure you have moved all your belongings to the top of the stairs. - Then close the second door which should lock itself. Please make sure that you have turned off all lights before leaving the premises. There is a bank of labeled switches near the front glass doors. NOTE: Two of these switches control outside lights in spherical globes, one just outside the doors and one along the path to the garden. To exit the front door: - Start with the pair of doors for which you have no key (on the right as you look OUT of the building). Close the first door, locking both up and down shootbolts. Close the other door and lock it with its handle. - Finish with the other pair of doors for which you have a key. Close the first door locking both up and down shootbolts. Exit and lock the remaining door. If you are locking up in the dark a small spotlight just outside the door should be activated by your movement - this will go off after a few minutes. ACCESSIBILITY FEATURES Step Free Access to the Building The main entrance is unsuitable for wheelchairs or prams as it involves going up or down stairs. Step-free access is achieved by the following routes: The Main Church: Use the door from the car park into the North Transept. The Lounge: Use the door from the car park into the North Transept then through the church into the foyer and lounge (Do not use the fire exit from the garden). The Hall: Follow the sloping path to the right of the main entrance which leads down to the patio outside the hall Toilets: Both upstairs and downstairs toilets have handicapped accissible stalls with wide doors for wheelchair users and raised toilets. Hearing Loop: The center, north and south aisles and the South Transept have a "hearing loop". However, this does not extend to the North Transept. CONSERVATION AND RECYCLING A few general comments: - Please turn off any lights where they are not needed - Recycling-the church has small recycling bins - please take home any rubbish which is suitable for recycling and does not fit in our bin to put in your own recycling bins. - Food Waste - We have no food waste bin - please take your food waste home to your bin. Facility Use Agreement This AGREEMENT is made as dated below between the PAROCHIAL CHURCH COUNCIL (PCC) OF CHRIST CHURCH ROXETH and the person(s) or body using the facilities of Christ Church Roxeth. Terms and Conditions of Use 1. Any use of facilities is deemed to confer acceptance of the conditions of hire. 2. THE PCC reserves the right to cancel the booking if exceptional unforeseen circumstances arise and will not be liable to the user for any loss or damage whatsoever. 3. THE USER shall complied with the rules governing the use of the premises and be familiar with the "CCR Premises Use Guide". 4. THE USER will have their own public liability insurance and will - before use- do a risk assessment with regard to the use of the facilities and inform CCR if any liability could arise. 5. THE USER shall make all make all persons using the premises aware that parking is limited to 6 vehicles on the Church grounds and will encourage the use of alternative means of getting to the Church and use of off-site parking. Additionally, CCR reserves the right to restrict or limit the use of the car park area. 6.Smoking, vaping and the use of electronic cigarettes is prohibited inside the premises and THE USER is responsible for ensuring that all persons are aware of this. 7. The USER shall i-f preparing or serving food- observe all relevant food and hygiene legislation and regulations and shall ensure that no one under the age of 14 years shall be allowed in the kitchen without proper adult supervision. 8.No one under the age of 18 years shall be allowed into the premises without proper adult supervision. 9.The USER shall ensure that the premises are left clean and tidy with any rubbish removed and crockery and cutlery washed, dried and put in the proper place. 10.The USER shall, during the period of use, be responsible for supervision and security of the premises, protection of the fabric and contents from damage, and the behaviour of all persons using the premises, including proper supervision of car parking arrangements so as to avoid obstruction of the highway. 11.The USER shall be responsible for obtaining any local authority or other licences necessary in connection with the booking, other than those already held by the PCC. 12.The USER shall be responsible for making adequate arrangements to insure against any third party claims which may lay against the USER or his/her organisation whilst using the premises. 13.The USER shall be responsible for the observance of all regulations affecting the premises imposed by the LicensingJustices.theFireAuthority and the Local Authority or otherwise. 14.THE USER shall not sub-let or use the premises for any unlawful purpose or in any unlawful way or do anything or bring onto the premises anything whichmay endanger thepremises,theirusers,orany insurance policies relating thereto. 15.THE USER shall indemnify the PCC inrespect of the cost of repair of any damage done to any part of the premises including the curtilage thereoforthe contents of the buildingduring,orasa resultof,abooking andinrespectofanyliability to third partiesor otherwisearisingout of the use of the premises pursuant tothe booking. 16.THEUSER shall,if selling goods onthepremises,comply withall relevant fairtrading lawsandany localcodeofpractice issuedinconnection with such sales. 17.THEUSERacknowledgesthatnotenancyisintendedtobecreatedbetweenthePCCandTHEUSERandnorelationshipoflandlordandtenant exists between them. 18.THEUSERisreminded that theyareresponsibleforanyaccident orinjury arisingoutoftheactivityfor which theyhave hiredthepremises.It istheresponsibilityofTHE USER to ensure thatthepremises aresafeforthe purpose for whichthey intend tousethem.THE USER must, in theevent of anaccident, complete the accident sheet intheFIRST AID boxes located in each kitchenproviding the information requested in part C. 19.THEUSERshallabidebythePCCSafeguardingPolicyattheendofthisagreementandagreesthatallconcernsrelatingtoabuseofvulnerable groups willbe reported to the relevant statutory authority.
